REVENUE OPERATIONS GUIDE

How to recover inbound leads without buying more traffic

Most lead leakage is operational: slow responses, unclear ownership and inconsistent follow-up. Fix the path before increasing acquisition spend.

Short answer: centralise every enquiry, acknowledge it immediately, assign one owner, create a timed follow-up sequence and measure each handoff. Automation should support the team—not pretend to replace human judgment.

Where inbound leads disappear

A prospect may complete a form, send a direct message, call after hours or reply to an old email. When those channels are handled separately, the company cannot reliably see who responded, what happened next or whether the opportunity was closed.

The minimum viable recovery workflow

1. Capture

Bring one high-value enquiry source into a visible queue. Start with the source already producing opportunities rather than connecting every system at once.

2. Acknowledge

Send a useful confirmation that states what will happen next. Avoid pretending that an automated message is a human response.

3. Assign

Route each enquiry to one accountable owner using territory, service, language or availability rules. Exceptions must be visible.

4. Follow up

Use a small number of timed, relevant touches. Stop automatically when the prospect replies, books, opts out or becomes unsuitable.

5. Measure

Track enquiry volume, first-response time, contacted rate, appointments, qualified opportunities and exceptions. Revenue attribution should only be claimed when evidence supports it.

What should be automated first?

Choose one painful, repeatable path with a clear owner and measurable outcome. For many service businesses, that means website enquiries or missed-call follow-up. A narrow pilot is safer and easier to evaluate than a large system rebuild.
